Do you sometimes end up writing the same exact emails over and over again? In business, you usually get asked the same questions repeatedly. It’s not uncommon to find yourself explaining a process or service in almost the exact same way, word for word, to many different people.

I’d like to show you how you can save precious time by using Gmail Email Templates. This advanced Gmail tool allows you turn frequent messages into templates that you can send out in seconds.

How To Set Up And Use Email Templates

Enable Templates

First, you need to enable the Templates in your Gmail account.

  • Go to SETTINGS located at the top right of the screen.
  • Click on SEE ALL SETTINGS and then click on the ADVANCED tab.
  • In the TEMPLATES section, select ENABLE.
  • Scroll to the bottom of the screen and click SAVE CHANGES.

Creating Templates

You can create up to 50 different templates.

  • Open the COMPOSE window and write up your email message.
  • Open the MORE menu by clicking on the three dots located at the bottom right corner of the window (next to the trash icon.)
  • Hover over the TEMPLATES tab, and you’ll see the option to SAVE DRAFT AS TEMPLATE. You can save it as a new template or you can overwrite an existing one.
  • When saving a new template, you will be prompted to give it a name so you can recognize it later.
  • After saving your template, you can just trash the email you used to create it.

Using A Template

To use a template, just start a new email.

  • Open the MORE menu by clicking on the three dots located at the bottom right corner of the window (next to the trash icon.)
  • Hover over the TEMPLATES tab, and select a template from the INSERT TEMPLATE section.
  • You can use it as is or make edits to it. Any edits made will not affect the original template unless you go back to the templates menu and overwrite it.

Deleting A Template

Deleting an existing template is simple.

  • Open the MORE menu by clicking on the three dots located at the bottom right corner of the window (next to the trash icon.)
  • Hover over the TEMPLATES tab, and click on DELETE TEMPLATE.
  • Choose the template you want to take out and click DELETE.
